Editorial Submission (“we”, “us”) provides a multi-journal manuscript submission and peer-review platform. This policy explains what information we process when you use the platform website, publisher tools, and journal submission sites hosted on Editorial Submission.
1. Who is responsible
The platform operator is responsible for platform accounts, hosting, security logging, and system emails. Each journal publisher is responsible for the editorial content of their journal site, manuscript decisions, and any journal-specific privacy notice they publish.
2. Information we collect
- Account details such as name, email address, password hash, and optional ORCID connection.
- Publisher and journal setup details such as organization name, contact email, branding assets, and mail identities.
- Manuscript submission data including titles, abstracts, keywords, author lists, funding declarations, cover letters, and uploaded files.
- Peer-review activity such as invitations, recommendations, comments visible to editors, and reminder schedules.
- Technical data such as IP address metadata in operational logs, browser type, and security scan results for uploaded files.
3. How we use information
- To operate submission, review, decision, and publication workflows.
- To authenticate users and enforce role-based access.
- To send transactional notices (for example submission received, review invitations, decisions, and draft expiry warnings).
- To protect the service, including malware scanning and audit trails.
- To improve reliability and support publishers who request operational help.
4. Legal bases
Where applicable privacy law requires a legal basis, we rely on performance of a contract (providing the service you request), legitimate interests (securing and operating the platform), and consent where you connect optional services such as ORCID.
5. Sharing
Manuscript and review data are shared with the relevant journal’s authorized editors and invited reviewers as needed for peer review. We do not sell personal data. Service providers that host email, storage, or infrastructure may process data under our instructions.
6. Retention
Abandoned manuscript drafts may be deleted automatically after the configured idle period. Journals may set operational retention windows for logs and related records. Scholarly records retained for publication history follow journal and publisher policy.
7. Security
We use access controls, encrypted transport, password hashing, file checksums, and malware scanning. No method of transmission or storage is perfectly secure; please use strong unique passwords and protect your account.
8. Your choices
You may update profile details, request account-related exports where available, disconnect ORCID, and contact us about access, correction, or deletion requests. Some manuscript records must be retained for editorial integrity after submission.
9. Children
Editorial Submission is intended for academic and professional use and is not directed to children under 16.
